Minutes of the 45th Annual General Meeting
Held at Royal Akarana Yacht Club, 26 th March 2003

Present
44 members as per the attendance register.

Minutes of Previous Annual General Meeting
Taken as read and accepted as a true account of the meeting.
Moved by Phillip Clemow, seconded by Malcolm Davies and carried unanimously.
Matters Arising
None


Presidents Report
Taken as read. Moved by Bruce Wiseman, seconded by Zelma Farnsworth and carried unanimously.
Matters arising from the Presidents verbal update were:
  * Revamp of Turoa
  * Explanation as to why the club has to replace the roof of Iwakau. Brent Worthington and Ian Howard questioned why the club did not appear to be doing things right from the start. The President assured them that considerable time had been expended by a number of committee members on all projects before any commitment was entered into.

Treasurers Report and Annual Accounts
Taken as read. Moved by Barney Sullivan, seconded by Mark Grey and carried unanimously.
Appointment of Auditor
Phillip Clemow noted that Mr M.I.Holland had done a good job and was prepared to continue as auditor. Barney Sullivan moved that Mr M.I.Holland continue to act as auditor, seconded by Diana MacPherson and carried unanimously.
Club Captains Report
Taken as read. Moved by Barney Sullivan, seconded by Diana MacPherson and carried unanimously.
Special thanks to Pieter Oosterbaan and Tish Oosterbaan for their time and effort.
Maintenance Report
Taken as read. Moved by Barney Sullivan, seconded by Bob Howard.
It was noted that Pieter had been responsible for Iwakau and Jan Downie responsible for Turoa.
  * The sewerage scheme progress and proposed depreciation recharge by DOC was discussed.
  * Issues relating to lodge maintenance were discussed, with clarification on the shelter that covers the back steps at Iwakau, and the roof at Iwakau.
  * Comments from members made it clear that there was no adverse reflection on the management of the committee intended by the discussions.
  * Members suggested that where club members may have some particular experience or expertise a help page added to the magazine may enable the club to tap into this experience to assist on any particular project.
Malcolm MacDougall moved that the club proceed with the plans to have Iwakau roof replaced, seconded by Toni Welsh and carried unanimously.
Election of Officers and Committee
Nominations received:
President - Phil Clemow
Vice Presidents - Barney Sullivan and Steven Stewart
Club captain - Trish Oosterbaan (First Lady Club Captain)
Treasurer - Paul Irving
Secretary - Teresa Smith
Committee nominees: Mark Gray, Malcolm Davies, Chris Smith, Bob Howard, Jan Downie, Linda baker, Russell Bersma, Pieter Oosterbannn, Andre Ellis, Shaun McGivern, Noel Price, and Mark Fairley.
As there was no contest for any of the positions there was no need for an election and all of the nominees were taken as elected.
The President advised that Linda Baker had done an excellent job in her first year as the Club booking officer, and it was acknowledged that it was not an easy job to take over from Debbie Doubleday.
General Business
  * The 10 beds allocated to guests on the weekends will be reduced to 5 for the coming season.
  * The President raised the need for the incoming committee to review lodge fees in the light of a number of cost increases and the result of the five year cash forecast. It was noted that the Rangatira fees were well below those of Graduates next door at Turoa.
  * Members acknowledged the time and effort put in by the committee members and considered that the club was being well run.
The meeting closed at 9.20pm.
